Trucking Payroll Data Questions

How do we get our payroll data to you each week?

You can send your payroll data to us each week in the way that works best for your company. We offer flexibility in how you submit your information—most clients send by email in either an Excel spreadsheet or a TMS software export.

How soon do we need to get our payroll data to you?

We require payroll data to be submitted 2 days before the expected direct deposit date. For example, if payday is on Friday, we need your data by Wednesday.

If data is submitted later, a Next Day Pay Fee will apply, as this would require expedited processing.

I have drivers that get paid different ways. Can you still help me?

Absolutely! Our payroll software can process many different pay types within the same payroll.  We can pay per hour, mile, percentage, or flat rate.

How do I process a newly hired employee?

Have the employee fill out the new hire form we provide. Submit the form to us before the next payroll is processed.

Do you charge extra for Direct Deposit?

No, we do not. Direct Deposit is included in our service, up to 5 different accounts per employee.

How do I change account information for an employee?

Submit a Direct Deposit Authorization form, we will provide one for you. Return this completed form to us before your next processing date.

Do you charge extra for printed paper checks?

No, we don’t charge extra for printed paper checks—they’re included with our service if needed. However, you may need to cover the postage if we mail them out.

Do you charge extra for processing garnishments?

No, we do not. Garnishment calculations, withholdings, and payments are included with our service.  These include Friend of the Court payments, tax levies, and all other court orders garnishments.

One of my drivers has a court-ordered payment that needs to be deducted from his pay. Can you help me with this?

Yes we can, it’s part of our service.  Just send us a copy of the order and we will take it from there.

Can I look over my payroll before it is finished?

Of course, you can.  We give all our clients an opportunity to preview their payrolls before we finalize this way you can make changes if needed.

Are same-day or extra payrolls available?

Yes, anytime you need to process a payroll off your normal schedule we are happy to help.  Please understand there will be an extra charge for this request.  You can read more about these fees in our article “Understanding Supplemental Payroll Fees: What They are and Why They Matter

Truck Driver Paystub Questions

Is there a way to show load detail on my driver's pay stub?
Yes, we can include load details on your driver’s pay stub. Our custom software allows us to add any specific information you need. Just get us the details you want and we will include them on the pay stub.
How do my employees receive their pay stubs?

We generally email pay stubs directly to each employee once they are ready. Employees can also register for a free account at www.truckingpaychecks.com, giving them convenient 24/7 access to their pay stubs.

I have an employee that needs his last four paycheck stubs to get a mortgage. How can I get them?

The easiest way is for employees to sign up for a free account at www.truckingpaychecks.com. There, they can view, download, and print as many pay stubs as they need.

Please be advised that paystubs are only sent to active accounts, past stubs will not be available.

If your employee has already signed up for an account and is still having trouble seeing their paystub, don’t hesitate to contact your account manager.

It’s nearly as simple as saying yes! Since we developed our own software, we can import your data in almost any format. If you can export it from your previous system, we’ll handle the rest.

If you can’t get the data in a file, don’t worry—we’ll take care of everything to ensure all your employees are correctly entered into our system.

How long does converting to Superior Trucking Payroll Service take?

The timeframe depends on the number of employees and the time of year. Implementation can take as little as a few days.

How do we get our payroll data to you each week?

Can I get custom reports made?

Yes, we can do that. Because we develop our own software, we can create any report you need if you provide the data. We also offer a variety of template reports that go beyond the standard payroll package.

Is there a fee for creating a custom report?
A fee applies only if the report is highly specialized or if you request the report template not be shared with other clients. The cost would be a one-time expense. Once the report is created, you can have it for free anytime.

Tax Information Questions

Is there extra cost to have our quarterly & annual tax filings done for us?
No, all tax reports and filings, including 941s and W-2s, are included in our service.
I have an employee that claims he reached his maximum FICA wage at his previous employer. He has asked me to not withhold FICA from his check. Can I do this?

No, please don’t do this. The employee should consult their tax adviser, as the FICA overpayment will be addressed in their yearly tax filing.

I have an employee that complains he owes the IRS money on his 1040 each year. He blames us. What can we do?

There could be several reasons why he owes money, but what matters most is finding a solution. The employee should seek advice from his tax adviser, complete a new IRS Form W-4, and request additional withholding on line 6.

Workers Comp Questions

Can you help our company with a workers' compensation audit?

Yes, we can help. We’ll provide all necessary payroll reports for your audit, including 941s, unemployment reports, and a workers’ comp report showing wages reported for the date range requested by your auditor.

In some cases we will even meet with your auditor.

Do you sell workers compensation?

No, we don’t sell workers’ comp policies. We believe it’s best handled by experts, and we’re happy to refer you to an agency we trust.
