Whatever the reason is, sometimes the perceived pain of switching makes it harder to decide to switch to a payroll provider that is a better fit for your business. The truth is, however, that switching is not as much work as you may believe.
There are two areas of concern when thinking of changing payroll providers. They are the setup work and the change in what you do for each payroll to submit items (the week to week stuff). Let’s start with the setup work.
The setup process for switching payroll services:
Setting up with a new payroll provider requires the transfer of a lot of sensitive data. You want to both protect the sensitive data and have the new payroll provider do as much of the transfer work as possible. Some payroll providers will do more of this than others but it is up to you to decide how much you want to do and how secure the movement will be. Pro tip: you will want to ask the new prospective payroll provider how much they will do and how much you have to do to get set up.
Much of the information needed is demographic and historical information about the employees. Things like address, social security number, W-4 data and pay history for at least the current year. The new provider will need this history to correctly determine some payroll taxes that have yearly limits like FICA and SUTA.
Payroll services provided week to week:
As for the week to week, if it is not covered in the sales process, the new provider should be able to walk you through exactly what to do. They have probably done this many times before so don’t be afraid to ask questions, we’ve heard them all. Ask questions about anything you feel uncomfortable about even while running live payrolls. Everyone wants your payroll to be correct, including your new provider.
